Check the source and scope
Confirm that the team worked from the complete, current pack. Revisit any amendment that changed a form, quantity, date or delivery instruction.
- Tender reference and bidder identity are consistent.
- Buyer clarifications and amendments have been reviewed.
- Conditional requirements reflect the actual bidding structure.
- Unresolved questions have been escalated to the responsible person.
Check the contents, not only the file list
Open the files that will actually be submitted. Review the selected versions rather than drafts in a working folder.
- Requested forms are complete and required execution steps are done.
- Evidence belongs to the right entity, person, product and scope.
- Validity and tender-specific freshness have been checked.
- Technical and commercial schedules describe the same offer.
Check packaging and delivery
Read the final submission instructions directly. The buyer may require a particular split, file format, physical pack or channel.
- File names, formats, sizes and volume separation follow the instructions.
- Required original spreadsheets or other source formats are retained.
- Physical items, samples or copies are included where requested.
- The responsible person has checked the destination and closing time.
Keep a record after submission
Retain the final submitted set and any receipt or portal confirmation. Record exceptions or delivery issues immediately. Preparing a pack is not the same as delivering it successfully; do not mark the bid submitted until the responsible person has confirmed the action.
