Two common preparation paths
Some returnables are pages already in the tender pack: declarations, schedules or questionnaires that need completion. Others are external files, such as a requested project reference or product datasheet. Identify the preparation path so a completed form is not mistaken for a missing upload, or an external attachment forgotten.
Read conditions and consequences
A document may apply only to a particular bidder structure or proposed solution. The buyer may also distinguish mandatory items from supporting information. Preserve the exact instruction and stated consequence; do not invent a disqualification rule or treat every item as optional.
Timing is part of the requirement
A record required before mobilisation is not automatically due with the tender. Keep submission, post-award and operational requirements distinguishable. If the pack is unclear or inconsistent, retain the question and seek clarification through the buyer’s process.
- Record the document name and source page.
- Identify who supplies or signs it.
- Record the condition and due stage.
- Track completion and final review separately.
Example: one form, several actions
A declaration may need company details, an authorised signature and an attached schedule. Those are connected tasks around one buyer document. Finishing the typed answers does not complete the signature or attachment. Review the whole returnable before marking it ready.
